ZenPraxion · how patient information is handled
ZenPraxion is a practice-management system that medical practices use to run their schedule, records, messages and billing. Axiom Digital, a trade name of Axiom Financial Group LLC, makes and operates it as a service provider to those practices.
Whose information, and whose rules
Information about patients belongs to the practice that treats them. The practice is the covered entity under HIPAA; Axiom Digital acts as its business associate under a written agreement and uses patient information only to provide the service to that practice.
What is collected
What the practice and its patients enter: contact details, appointment details, intake answers, clinical notes, insurance and billing information, and messages exchanged with the practice. Technical records of sign-ins and actions are kept for the practice's audit trail.
Texting and email
Phone numbers and email addresses are used to send appointment reminders, confirmations, intake links, pay links and replies on the practice's behalf, only after the patient has agreed. Mobile information is never sold, rented or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party. Carriers and the messaging provider receive only what is needed to deliver each message.
Payments
When a practice collects a payment online, the card or bank details are entered on the payment processor's own page and never reach ZenPraxion; the practice's record keeps the amount, the date and the processor's reference.
Who sees it
The practice's staff, each within the role the practice gave them. Service providers that deliver messages, host the system, process payments and process claims, each under contract. No one else, except as the law requires.
How long it is kept
As long as the practice keeps the record, following the medical-records retention rules that apply to it. A practice that leaves ZenPraxion receives its data and the copies are deleted on the schedule in its agreement.
Security
Encryption in transit and at rest, access by role, and a record of every access. Report a concern to support@zenpraxion.com.
Your choices
Reply STOP to end texts. Ask the practice to see, correct or receive a copy of your record; the practice answers those requests under its own notice of privacy practices.
